Hospitality Coordinator

Responsibilities:

Transport Coordinator

Responsibilities:

  • Coordinate ground transportation of Fantasia Guests 

  • Verify Guest flight information and enter into Zone Festival 

  • Recruit and Organize Volunteers to greet and drive guests to and from airport 

  • Drive to pick up/drop off guests if necessary 

  • Work with Frontiere's Market to organize transportation of Industry Guests on Arrival/Departure day 


Minimum Requirements:

On-site Manager

Responsibilities:

  • Keeps track of screening times for the three main theaters, guests in attendance, Q&As, photo ops, red carpet events and more, using existing tools;
  • Coordinate promo activities with our sponsors’ representatives;
  • Helps with crowd control, design accurate floorplans and optimize the flow of crowds, including the box office line, rush line, candy bar line, security corridors, etc.;
  • Manages the volunteers who will be assigned to the theaters and informs them of any relevant protocols and information;
  • Receives and carries out requests for assigned or reserved seating. In conjunction with the communications team, makes and manages guestlists for premières and sold out movies as well as preparing our green room for high-profile guests;
  • Be present on site during all screenings hours to manage the theaters, to organize changes in protocol for special screenings and to help fix any last-minute problems;
  • Attends, with the Production Director, meetings with theater managers, Concordia University security department, other Fantasia team members, etc.;

Minimum Requirements:

  • Multiple experiences in leading large teams of people, in crowd management and /or event organization;
  • Detail oriented with strong communicational and organizational skills;
  • Excellent knowledge of Microsoft Office and Google Drive. Knowledge of Zone Festival an asset.
  • Bilingual written and spoken French AND English is essential;
  • Familiarity with the film festival environment;
  • Ability to work well both independently and in a fast-paced team environment;
  • Ability to adapt to a demanding work schedule, including evenings and week-ends;

Production Coordinator

Responsibilities:

  • Assists the Production Director in planning and managing the set up of the festival site, offices and special events (this includes floorplans, lists of rentals and purchases, organizing pick up, deliveries, set up, etc.);
  • In close communication with all departments to insure the above-mentioned plans meet everyone’s needs;
  • Manages a small team of assistants and volunteers in pre-production;
  • With help from our IT person, will be responsible for some technical set up tasks, such as the screening room, internet connections, set up of printers and assigning the festival’s computers / electronic devices to the people in need.
  • Organizes a variety of festival special events
  • Writes and submits alcohol waivers for all festival’s special events;
  • Plans the catering and amount of drinks needed;
  • Lists furniture needs in advance and plans the set up and cleaning of spaces;
  • Writes a rundown of each event to ensure it will run smoothly and without any security issues; Is present on site for all the special events.

Minimum Requirements:

  • Multiple experiences in events management and production;
  • Detail oriented with strong communicational and organizational skills;
  • Capacity to lift moderately heavy objects
  • Ability and ease with manual labor (an asset)
  • Have a driver’s license (non-mandatory, but a noticeable asset)
  • Excellent knowledge of Microsoft Office and Google Drive.
  • Bilingual written and spoken French AND English is essential;

Internships

Market Assistant

Responsibilities (will include but not be limited to):

  • Assist the Market team with a variety of tasks relating to the production & organization of Frontières Co-production Market;
  • Assist the Production team in the set-up, tear down and maintenance of the market areas and the special events venues;
  • Assist the Market Accreditations team with the production distribution of Market badges (in relation with the Fantasia Festival accreditation team);
  • Serve as runner for the market team and help with various Operations tasks;
  • Assist with general customer service assistance for Market guests;
  • Assist the Market Executive Director with the gathering and testing of multimedia documents from project participants;
  • On-site technical and production assistant during panels pitch presentations (mics, presentations on computer, craft table, venue managing, etc.);
  • Assist the Market team for the post-events various reports.

Minimum Requirements:

  • Currently enrolled in, or a recent graduate of the Film Studies, Communication Studies,
  • Communications and Public Relations or Business programs;
  • Impeccable written and spoken French AND English is essential, knowledge of a third language is an asset;
  • Extensive knowledge of Microsoft Office (Word, Excel) and Mac OS;

Communications / PR (4 positions)

Responsibilities (will include but not be limited to)

With COMMUNICATIONS OFFICE:

  • Assist the Communications Office Manager and the PR team with various tasks relating to: the organization of press conferences and red carpet events, press junket and media interview coordination, guest lists management, the production of press releases and press review compiling. (2 positions)
  • Manage the online video library for use by press & industry delegates and serve as the primary liaison to coordinate materials for jury members.(ie. uploading video files) (1 position)

With INTERNATIONAL COMMUNICATIONS (in English environment): )

  • Assist the International Communications Team with various tasks relating to: press junket and media interview coordination, guest lists management, the production of press releases, press review compiling and red carpet events. (1 position)

Minimum Requirements

Social Media Assistant

Responsibilities (will include but not be limited to)

  • Assist the Social Media Coordinator in the creation and management of content across our platforms (Facebook, Twitter, Instagram)
  • Monitor feeds and maintain active engagement with online communities
  • Receive and process material for use on social media and work closely with web team to create content across multiple platforms
  • Liaise with members of the Fantasia team to develop relevant content & stay apprised of updates
  • May be required to attend events (screenings, Q&As, red carpets, etc)

Minimum Requirements

  • Currently enrolled in, or a recent graduate of the Communication Studies, Communications and Public Relations, Film Studies, or Marketing programs

Design Internship

Responsibilities (will include but not be limited to)

  • Under the supervision of the Festival’s production director, design the feel and look of festival spaces (guest Lounge, green room, atriums, halls and box office area, etc.) according to the budget and constraints allocated. Key pieces will be provided but ideas and creativity are welcome.
  • Prepare floor plans and mock ups to demonstrate installation concepts for approval from the Concordia team;
  • Keep a comprehensive list of printing needs for the approved concepts;
  • Design the various graphic elements needed to achieve said concepts;
  • Act as principal resource regarding printing, choose printing materials and sizes, respecting deadlines for submitting files, etc.;
  • Assist the Production team in organizing the pick up or delivery of the pieces and the installation in the festival areas.
  • Assist production team in creating material and visuals for the festival
  • Create film slides in rotation prior to film screenings
  • Assist the website and social media team by creating content for various platforms (Website,
  • Facebook, Instagram, Twitter, etc)
  • Assist video team in creating visuals when needed
  • Handle daily requests for graphic content from various departments
  • Act as liaison with festival graphic design partners if needed

Minimum Requirements

  • Currently enrolled in, or a recent graduate of the Department of Design and Computation Arts
  • Ability to develop effective designs while respecting an established visual identity
  • Ability to work with tight deadlines and high mass communications tool to produce
  • Extensive knowledge of InDesign, Photoshop, Illustrator is required
  • Knowledge of video editing software an asset
  • Ability to deliver ready to print files
  • Ability to create design concepts and solutions with respect to deadlines and budgets

Hospitality General Internship

Responsibilities (will include but not be limited to)

  • Daily operation of Guest Information desk during opening hours (10-6) to greet guests 
and provide festival information 

  • Assist all Hospitality team members as needed
  • Direct festival guests to correct locations and to Festival Staff 

  • Drive to pick up/drop of guests if necessary 

  • Distribute festival information, guest guides and guest gift bags

Accreditations Assistant

Responsibilities (will include but not be limited to)

  • Assist Accreditations Coordinator in daily tasks 

  • Greet guests and distribute accreditations to badge holders
  • Provide festival information to guests and general public
  • Prepare Accreditation for guests being picked up at airport 

  • Tracking of printed and distributed badges and tickets 

  • Daily operation of Accreditation desk, prior to and during the festival

Television Production Internship (5 positions)

Responsibilities (will include but not be limited to)

Camera (2 positions)

  • Shoot daily talkshow broadcasted live
  • Attend screenings to record footage of audiences, guests and announcers
  • Attend red carpets, record footage of interviews, line ups, etc
  • Assist in shooting any material needed for show
  • Travel to downtown locations may be required

Editing (1 position)

  • Assist director during live show
  • Put together daily recap videos
  • Edit and create subtitles for pre-recorded interviews
  • Prepare all footage for daily show
  • Edit footage for all necessary material

Sound (1 position)

  • Monitor sound during live broadcast of daily show
  • Intervene rapidly to solve any issues related to sound during live broadcast
  • Occasionally monitor sound for pre-recorded segments

Production Coordinator (1 position)

  • Assist production in scheduling guests for daily talkshow
  • Assist with film and guest research when needed
  • Respond to day-to-day challenges in production
  • Coordinate with various teams to ensure guests presence
  • Assist in coordinating with web & social media team for creating content related to show
  • Coordinate between team members to ensure coverage of events
  • Occasionally run errands

Requirements:

  • Currently enrolled in, or a recent graduate of the Film production program
  • Knowledge and skill behind a camera (required for camera positions)
  • A working knowledge on Premier CC and Final Cut softwares (required for editing)
  • Fluency in both english and french (spoken)

Production Assistant (2 positions)

Responsibilities (will include but not be limited to)

  • Manage the installation of movie posters and promotional materials, create and keep up to date a list of all physical and digital poster files;
  • In conjunction with the production director, as well as the communications and programming team, selects the most relevant posters to show;
  • With the help of volunteers, carry out the rotation of posters and other promotional materials;
  • Take charge of setting up our press screening room, establish and communicate protocols to the volunteer attendants running the screening room during the festival
  • Take part in production of VR spaces; plan the space organization (floor plans) and the list of signage and supplies needed; make purchases or rentals necessary;
  • Oversees the installation of the VR booths and manages the volunteer staff on site;
  • Assist with general production and logistics tasks for pre and post festival: managing of the catalog deliveries, pick ups and returns, etc. in support to the production team
  • Run errands as needed
  • Maintain clean and organized spaces as needed (office, green room, volunteer spaces etc) and make sure all necessary supplies are available
  • Assist the production team with the distribution of festival flyers and schedules, in and around the venues

Minimum Requirements

  • Currently enrolled in, or a recent graduate of the Film Studies, Communication Studies, Communications and Public Relations, or Hospitality Management programs;
  • Detail oriented with strong organizational skills;
  • Comfortable with using and troubleshooting technical problems on different audio-visual equipment (Smart TVs, media readers, computers, etc.);
  • Some knowledge of VR technologies an asset;
  • Excellent knowledge of either French or English, adequate knowledge of the other language;
  • Strong familiarity with Microsoft Office and Google Drive;
  • Familiarity with the film festival environment considered an asset;
  • Ability to work well both independently and in a fast-paced team environment;

Study Coordinator

Responsibilities (will include but not be limited to)

  • Reporting to the festival director, assist in setting up study and training staff and volunteers
  • Oversee interviewers, volunteers and staff taking part in study
  • Create schedules for interviewers and volunteers
  • Ensure good workflow, that quotas are met and deadlines respected
  • Liaise between survey firm and Fantasia team
  • Act as principal resource regarding study during the festival
  • Expect to work indoors and outdoors

Minimum Requirements

  • Currently enrolled in, or a recent graduate of the Communication Studies, Communications and Public Relations, Marketing or Business programs
  • Experience working with large-scale surveys an asset
  • Management experience a strong asset

Korean / Japanese Interpreters (Several positions)

Responsibilities (will include but not be limited to)

  • Act as interpreter for Korean or Japanese guests during interviews
  • Assist in translating written interviews with French or English speaking journalists
  • Act as interpreter for interviews on festival talkshow (may be on camera, may be live)
  • Assist in translating pre-recorded interviews for festival talkshow and create subtitles
  • Accompany to guests during their time off festival grounds (dinners, activities etc)
  • Act as interpreter to facilitate interactions between guests and programmers or other staff
  • May be required to attend events (screenings, red carpets, interviews, etc)

Minimum Requirements

  • Impeccable spoken Japanese AND English (French a strong asset) is required
  • OR
  • Impeccable spoken Korean AND English (French a strong asset) is required
  • Ability to read Japanese AND/OR Korean AND English is an extremely strong asset
  • Written Japanese AND/OR Korean AND English is an extremely strong asset
  • Ability to adapt to a demanding work schedule (evenings, late nights, early mornings or week-ends) is a must
  • Ability to communicate ideas clearly and concisely

VR Coordinator (1 position)

Responsibilities (will include but not be limited to)

  • Plan the space organization and design (floorplans) as well as electrical and other supplies needed;
  • Make the purchases or rentals necessary;
  • Plan the list of signage needed and communicates with the graphic artist and printer;
  • Is the Fantasia contact person for VR companies we have to deal with for the production of the event;
  • Is in charge of coordinating the technical set up of the spaces;
  • Oversees the installation of the VR booths and manages the volunteer staff on site;
  • In charge of planning the crowd control for these spaces;
  • Oversees the tear down of the spaces and shipping back of rentals.
  • Make sure films are properly downloaded and headsets are correctly programmed

Minimum Requirements

  • Detail oriented with strong organizational skills;
